Privacy statement (English)
This is the privacy statement of D. van Houten Import-Export B.V. (hereinafter: DVH or we). DVH is located at Kaskinenweg 11, 9723JL Groningen, The Netherlands. The Chamber of Commerce number of DVH is 58250891. DVH is the controller for the processing of personal data described below.
DVH is a B2B wholesale supplier of aquatic products, working exclusively with business customers (dealers, retailers, importers) and suppliers. This statement therefore mainly concerns the personal data of contact persons acting on behalf of a business — e.g. purchasing staff, account holders, or company owners — rather than private consumers. It also covers visitors to our website and applicants.
What are DVH's general privacy principles?
- DVH respects the privacy of all visitors to its website, its business customers, suppliers, and other relations.
- DVH puts the security and confidentiality of personal data first and handles it carefully.
- DVH shares personal data only with parties it engages to provide its services, and with parties it is legally required to share data with.
- DVH takes privacy into account when improving its services and adheres to applicable data protection legislation.
When do we collect your personal data, and how?
DVH processes personal data because you (or the business you represent):
- use or want to use our services;
- provide details via email, our website, our customer portal, or by phone;
- visit the DVH website or log in to the customer portal;
- have a business relationship with DVH;
- apply for a position at DVH.
Most data is provided by you directly. Where possible, we retrieve data already on file (e.g. via our AFAS customer records) so you don't have to re-supply it.
For what purposes do we process personal data?
- Communication. To contact you when necessary — e.g. order confirmations, invoices, quotations, price lists, and payment reminders.
- Contract execution. If you are a contact person for a business customer or supplier, we process your data to prepare, establish, and execute the agreement.
- Application procedures. For both open applications and specific vacancies.
- Legal obligations. Where processing is required by law or regulation.
- Security. Camera surveillance at our premises and car parks, to protect staff, visitors, and property.
- Business analysis. We analyse order and account data in aggregate to manage inventory, pricing, and supplier relationships — this is analysis at the business-account level, not individual profiling of private consumers.
- Trade communications. With your consent, or where permitted by law on the basis of an existing customer relationship, we may inform you about similar products and services, including relevant price lists, product updates, and trade offers. You can opt out easily and free of charge at any time.
What are the legal bases for processing?
We process your data because it is necessary for entering into or performing an agreement, because we have a legal obligation, because you have given consent, or because we have a legitimate business interest.
Where we rely on a legitimate interest, this may include protecting our premises and IT systems, preventing fraud and duplicate order processing, improving our business operations, and maintaining normal business relationships. We balance these interests against the privacy interests and rights of the individuals concerned.
Where processing relies on consent, you may withdraw it at any time in the same way you gave it.
We do not use automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you. For example, the automated matching of order lines to product codes in our order-processing system concerns product data only, not decisions about you as a person.
What processes do we use, and what personal data is involved?
1. Customer service
For questions, comments, or complaints about our services or your orders. We may need your customer number or contact details to help you efficiently, and may need to share data with a repairer or supplier in a warranty case. Data submitted via our website or portal is transmitted encrypted (TLS) and used only to handle your request.
2. Order management
We process the names and contact details of your company's contact persons, and any other data necessary in a specific case, to process and fulfil orders.
3. Financial
Names and contact details of contact persons at customers and suppliers, processed for invoicing, quotations, sales orders, purchase orders, and payment reminders.
4. Customer portal & webshop
When you log in to our customer portal (portal.dvh-import.com), authentication runs entirely through AFAS OutSite. After a successful login, a session cookie is set on your device containing your debtor number, customer type, and related identifying fields. The cookie itself does not contain your pricing or order history — these are retrieved from AFAS on each request, using the debtor number from the cookie as a filter, so that the portal can show your company's correct pricing and order history without you needing to log in again on every page. This cookie is valid for a maximum of 8 hours, is not readable by website scripts, and is only transmitted over secure (HTTPS) connections. It is strictly necessary for the portal to function and is not used for tracking, advertising, or analytics — see also the Cookies section below.
Order, pricing, and account data itself is stored in our ERP system (AFAS), not in a separate database on our web-hosting infrastructure. Certain supporting systems used to route and match incoming orders (e.g. our workflow automation) may temporarily process identifying details such as an email address in order to prevent duplicate processing; this data is not used for any other purpose and is periodically cleared.
5. Email
Where permitted by law, we use the contact details you provided when requesting a DVH account or placing an order to inform you about similar products and services, including relevant price lists, product updates, and trade offers. You can opt out easily and free of charge at any time.
6. Product recall
If an issue arises with a purchased product, we use purchase and account data to identify affected customers and contact them. In exceptional cases where health or safety is at risk, we may share the minimum necessary data with a supplier or other third party solely for the recall action, under agreement that they delete it afterwards.
7. Camera surveillance
Our premises are monitored by clearly visible cameras to protect staff, visitors, and property.
8. Purchasing / suppliers
Names and contact details of supplier contact persons, processed as necessary to purchase products and execute supplier agreements.
9. Applications
If you apply to DVH, we process the details you provide, which may include: name and address, contact details, date of birth/age, CV and work history, training/assessment records, availability, references, certificates, nationality, and work permit status. This data is accessible only to those involved in the selection process and is used solely for and during the application procedure.
Cookies
DVH's customer portal uses only strictly necessary (functional) cookies — primarily the session cookie described above, plus supporting cookies used for security (e.g. CSRF protection). These do not require your consent under applicable e-privacy rules, because the portal cannot function without them. DVH does not currently use analytics, advertising, or tracking cookies. If this changes in the future, we will update this statement and request consent where required.
How long do we keep your data?

Do we share your data?
Order, pricing, and account data is stored in AFAS's systems. We share personal data with third parties only where this is necessary for our services or business operations. These parties may include carriers and logistics providers for deliveries, financial service providers, and IT and cloud service providers that support our systems.
Some of these service providers operate internationally. As a result, personal data may in certain cases be processed outside the European Economic Area (EEA), or accessed from countries outside the EEA. Where this occurs, we ensure that the transfer takes place in accordance with the GDPR, for example on the basis of an adequacy decision of the European Commission or by using appropriate safeguards such as the Standard Contractual Clauses approved by the European Commission.
DVH does not sell personal data. Personal data is shared for other purposes or with other parties only where there is a valid legal basis for doing so or where we are legally required to disclose it.
How do we protect your data?
- Our website and customer portal are secured with TLS encryption.
- Authentication for the portal runs exclusively through AFAS; the portal itself holds no separate password database.
- Access to internal systems is password-protected; remote access uses two-factor authentication.
- Our servers are protected by a firewall and access is limited to necessary ports and services only.
- Only authorised staff and service providers have access to personal data.
- We have data processing agreements in place with third parties that process personal data on our behalf.
What rights do you have?
- You have the right to access, correct, or delete your personal data, to restrict processing, to withdraw consent, to object to processing, and in some cases to data portability. Send requests to info@dvh-import.com.
- To prevent misuse, we may verify your identity before carrying out a request. Where possible, we use information already known to us, such as your business email address, customer number, or account details. Only where necessary may we ask for additional identification.
- We will respond to your request in principle within one month of receipt. If a request is complex or you submit multiple requests, this period may be extended in accordance with the GDPR. We will inform you of any extension within the first month.
- You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe that we are not handling your personal data correctly.
Changes to this statement
Rules on data protection and our services may change. We reserve the right to update this privacy statement accordingly. This version replaces all previous versions.

Dit is de privacyverklaring van D. van Houten Import-Export B.V. (hierna: DVH of wij). DVH is gevestigd aan Kaskinenweg 11, 9723JL Groningen, Nederland. Het KvK-nummer van DVH is 58250891. DVH is verwerkingsverantwoordelijke voor de hieronder beschreven verwerking van persoonsgegevens.
DVH is een B2B-groothandel in aquariumproducten en werkt uitsluitend met zakelijke klanten (dealers, retailers, importeurs) en leveranciers. Deze verklaring gaat daarom vooral over persoonsgegevens van contactpersonen die namens een bedrijf handelen — bijvoorbeeld inkopers, accounthouders of eigenaren — en niet over particuliere consumenten. Ook bezoekers van onze website en sollicitanten vallen hieronder.
Wat is het algemene privacybeleid van DVH?
- DVH respecteert de privacy van alle websitebezoekers, zakelijke klanten, leveranciers en overige relaties.
- DVH stelt de veiligheid en vertrouwelijkheid van persoonsgegevens voorop en gaat hier zorgvuldig mee om.
- DVH deelt gegevens alleen met partijen die zij inschakelt voor haar dienstverlening, en met partijen waarmee dit wettelijk verplicht is.
- DVH houdt bij het verbeteren van haar dienstverlening rekening met privacy en houdt zich aan de toepasselijke wetgeving.
Wanneer verzamelen wij jouw gegevens en hoe?
DVH verwerkt persoonsgegevens omdat jij (of het bedrijf dat je vertegenwoordigt):
- gebruik maakt of wil maken van onze diensten;
- gegevens aanlevert via e-mail, de website, het klantportaal of telefonisch;
- de website bezoekt of inlogt op het klantportaal;
- een zakelijke relatie heeft met DVH;
- solliciteert bij DVH.
De meeste gegevens lever je zelf aan. Waar mogelijk halen we gegevens uit onze administratie (AFAS), zodat je deze niet opnieuw hoeft aan te leveren.
Voor welke doelen verwerken we persoonsgegevens?
- Communicatie. Om contact op te nemen indien nodig — bijvoorbeeld orderbevestigingen, facturen, offertes, prijslijsten en betalingsherinneringen.
- Uitvoeren overeenkomst. Als contactpersoon van een zakelijke klant of leverancier verwerken we jouw gegevens voor voorbereiding, totstandkoming en uitvoering van de overeenkomst.
- Sollicitatieprocedures. Zowel bij open sollicitaties als bij een specifieke vacature.
- Wet- en regelgeving. Waar verwerking wettelijk verplicht is.
- Beveiliging. Cameratoezicht op onze vestiging en parkeerterreinen, ter bescherming van personeel, bezoekers en eigendommen.
- Bedrijfsanalyse. We analyseren order- en accountgegevens op geaggregeerd niveau ten behoeve van voorraadbeheer, prijsstelling en leveranciersrelaties — dit betreft analyse op accountniveau, geen individuele profilering van particuliere consumenten.
- Handelscommunicatie. Met je toestemming, of wanneer dit wettelijk is toegestaan op basis van een bestaande klantrelatie, kunnen wij je informeren over soortgelijke producten en diensten, waaronder relevante prijslijsten, productupdates en handelsaanbiedingen. Je kunt je op ieder moment eenvoudig en kosteloos afmelden.
Wat zijn de grondslagen voor verwerking?
Wij verwerken gegevens omdat dit nodig is voor het aangaan of uitvoeren van een overeenkomst, omdat we een wettelijke verplichting hebben, omdat je toestemming hebt gegeven, of omdat we een gerechtvaardigd belang hebben.
Waar wij ons baseren op een gerechtvaardigd belang, kan het bijvoorbeeld gaan om het beveiligen van onze gebouwen en IT-systemen, het voorkomen van fraude en dubbele orderverwerking, het verbeteren van onze bedrijfsvoering en het onderhouden van normale zakelijke relaties. Wij wegen daarbij ons belang af tegen de privacybelangen en rechten van betrokkenen.
Is de verwerking gebaseerd op toestemming, dan kun je deze op elk moment intrekken op dezelfde wijze als waarop je deze hebt gegeven.
Wij nemen geen besluiten die uitsluitend op geautomatiseerde verwerking zijn gebaseerd, waaronder profilering, en die rechtsgevolgen voor je hebben of je op vergelijkbare wijze in aanmerkelijke mate treffen. De geautomatiseerde matching van orderregels aan artikelcodes in ons orderverwerkingssysteem betreft bijvoorbeeld uitsluitend productgegevens, geen besluiten over jou als persoon.
Om welke processen gaat het en welke gegevens verzamelen we?
1. Klantenservice
Voor vragen, opmerkingen of klachten over onze dienstverlening of je bestellingen. We kunnen om je klantnummer of contactgegevens vragen om je goed te helpen, en soms gegevens delen met een reparateur of leverancier bij garantiekwesties. Gegevens via onze website of het portaal worden versleuteld (TLS) verzonden en uitsluitend gebruikt voor afhandeling van je verzoek.
2. Ordermanagement
Namen en contactgegevens van contactpersonen bij je bedrijf, en overige gegevens indien nodig, voor het verwerken en uitvoeren van orders.
3. Financieel
Namen en contactgegevens van contactpersonen bij klanten en leveranciers, verwerkt voor facturen, offertes, verkooporders, inkooporders en betalingsherinneringen.
4. Klantportaal & webshop
Bij het inloggen op ons klantportaal (portal.dvh-import.com) verloopt authenticatie volledig via AFAS OutSite. Na een geslaagde login wordt een sessiecookie op je apparaat gezet met je debiteurnummer, klanttype en enkele identificerende gegevens. De cookie zelf bevat geen prijzen of orderhistorie — deze worden bij elke aanroep opgehaald uit AFAS, met het debiteurnummer uit de cookie als filter, zodat het portaal de juiste prijzen en orderhistorie van je bedrijf kan tonen zonder dat je op elke pagina opnieuw hoeft in te loggen. Deze cookie is maximaal 8 uur geldig, niet uitleesbaar door scripts op de website, en wordt uitsluitend over een beveiligde (HTTPS) verbinding verstuurd. De cookie is strikt noodzakelijk voor de werking van het portaal en wordt niet gebruikt voor tracking, advertenties of analytics — zie ook Cookies hieronder.
Order-, prijs- en accountgegevens worden opgeslagen in ons ERP-systeem (AFAS), niet in een aparte database op onze webhosting-infrastructuur. Bepaalde ondersteunende systemen die inkomende orders routeren en matchen (onze workflow-automatisering) kunnen tijdelijk identificerende gegevens zoals een e-mailadres verwerken om te voorkomen dat een order dubbel wordt verwerkt; deze gegevens worden voor geen ander doel gebruikt en periodiek opgeschoond.
5. E-mail
Voor zover dit wettelijk is toegestaan, gebruiken we de contactgegevens die je hebt verstrekt bij het aanvragen van een DVH-account of het plaatsen van een bestelling om je te informeren over soortgelijke producten en diensten, waaronder relevante prijslijsten, productupdates en handelsaanbiedingen. Je kunt je op ieder moment eenvoudig en kosteloos afmelden.
6. Product recall
Bij een probleem met een aangekocht product gebruiken we aankoop- en accountgegevens om betrokken klanten te identificeren en te informeren. In uitzonderlijke gevallen waarin gezondheid of veiligheid in het geding is, kunnen we de minimaal noodzakelijke gegevens delen met een leverancier of andere derde, uitsluitend voor de recall-actie, met de afspraak dat deze daarna worden verwijderd.
7. Cameratoezicht
Onze vestiging is beveiligd met duidelijk zichtbare camera's ter bescherming van personeel, bezoekers en eigendommen.
8. Inkoop / leveranciers
Namen en contactgegevens van contactpersonen bij leveranciers, verwerkt voor inkoop van producten en uitvoering van leveranciersovereenkomsten.
9. Sollicitaties
Bij een sollicitatie verwerken we de gegevens die je aanlevert, waaronder: naam- en adresgegevens, contactgegevens, geboortegegevens/leeftijd, CV en werkervaring, trainings-/assessmentgegevens, beschikbaarheid, referenties, getuigschriften, nationaliteit en werkvergunning. Deze gegevens zijn alleen toegankelijk voor betrokkenen bij de selectieprocedure en worden uitsluitend gebruikt tijdens het sollicitatieproces.
Cookies
Het klantportaal van DVH gebruikt uitsluitend strikt noodzakelijke (functionele) cookies — met name de hierboven beschreven sessiecookie, aangevuld met cookies voor beveiliging (zoals CSRF-bescherming). Hiervoor is geen toestemming vereist onder de toepasselijke e-privacyregels, omdat het portaal zonder deze cookies niet kan functioneren. DVH gebruikt momenteel geen analytics-, advertentie- of trackingcookies. Mocht dit in de toekomst veranderen, dan wordt deze verklaring bijgewerkt en wordt waar vereist toestemming gevraagd.
Hoe lang bewaren we jouw gegevens?

Delen we jouw gegevens?
Order-, prijs- en accountgegevens worden opgeslagen in de systemen van AFAS. We delen persoonsgegevens alleen met derden wanneer dit noodzakelijk is voor onze dienstverlening of bedrijfsvoering. Dit betreft bijvoorbeeld vervoerders en logistieke dienstverleners voor de uitvoering van leveringen, financiële dienstverleners en IT- en clouddienstverleners die onze systemen ondersteunen.
Sommige van deze dienstverleners zijn internationaal actief. Daardoor kunnen persoonsgegevens in bepaalde gevallen buiten de Europese Economische Ruimte (EER) worden verwerkt of vanuit landen buiten de EER toegankelijk zijn. Wanneer dit gebeurt, zorgen wij ervoor dat de doorgifte plaatsvindt in overeenstemming met de AVG, bijvoorbeeld op basis van een adequaatheidsbesluit van de Europese Commissie of door gebruik te maken van passende waarborgen, zoals de door de Europese Commissie goedgekeurde standaardcontractbepalingen.
DVH verkoopt geen persoonsgegevens. Gegevens worden alleen voor andere doeleinden of met andere partijen gedeeld wanneer daarvoor een geldige wettelijke grondslag bestaat of wanneer wij daartoe wettelijk verplicht zijn.
Hoe beveiligen we jouw gegevens?
- Onze website en het klantportaal zijn beveiligd met TLS-versleuteling.
- Authenticatie voor het portaal verloopt uitsluitend via AFAS; het portaal zelf heeft geen eigen wachtwoorddatabase.
- Toegang tot interne systemen is wachtwoordbeveiligd; toegang op afstand vereist two-factor authenticatie.
- Onze servers zijn beveiligd met een firewall; toegang is beperkt tot noodzakelijke poorten en diensten.
- Alleen bevoegd personeel en dienstverleners hebben toegang tot persoonsgegevens.
- We hebben verwerkersovereenkomsten met derden die in onze opdracht persoonsgegevens verwerken.
Welke rechten heb je?
- Je hebt het recht op inzage, correctie of verwijdering van je persoonsgegevens, beperking van de verwerking, het intrekken van toestemming, bezwaar tegen verwerking, en in sommige gevallen gegevensoverdraagbaarheid. Stuur een verzoek naar info@dvh-import.com.
- Om misbruik te voorkomen kunnen wij je identiteit controleren voordat wij een verzoek uitvoeren. Daarbij gebruiken we waar mogelijk gegevens die al bij ons bekend zijn, bijvoorbeeld je zakelijke e-mailadres, klantnummer of accountgegevens. Alleen wanneer dat noodzakelijk is, kunnen wij om aanvullende identificatie vragen.
- Wij reageren in beginsel binnen één maand na ontvangst van je verzoek. Wanneer een verzoek complex is of je meerdere verzoeken indient, kan deze termijn overeenkomstig de AVG worden verlengd. Wij informeren je daar binnen de eerste maand over.
- Je hebt daarnaast het recht om een klacht in te dienen bij de Autoriteit Persoonsgegevens als je vindt dat wij niet correct met je persoonsgegevens omgaan.
Wijzigingen
Regels rond gegevensbescherming en onze dienstverlening kunnen wijzigen. We behouden ons het recht voor deze verklaring aan te passen. Deze versie vervangt alle eerdere versies.
